NAPO Chicago Board of Directors Duties


President 

  • Supervise business and activities of chapter
  • Create agendas and preside over board meetings
  • Create agendas and preside over general meetings
  • Recommend suitable replacements for board vacancies
  • Sign chapter contracts/manage subcontractors
  • Approve communications to prospective members, membership and public
  • Serves as liaison to other chapters and NAPO national
  • Perform other duties as may be prescribed by the Chapter Board of Directors or by the NAPO Board of Directors

Vice President 

  • Acts in place of the President when the President is absent or unable to act
  • Perform other duties as requested and/or delegated by the President

Additional duties may include:

  • Create procedure & process and documents to assist as needed
  • Assist Board Transition & Strategic Planning preparation
  • Manage chapter community events and special projects
  • Chair chapter 30th Anniversary Committee
  • Support Marketing Director: PR, press, & social media as needed

Secretary 

  • Record, prepare, disseminate and maintain minutes of the Chapter Board of Directors meetings and Chapter Membership meetings
  • Provide minutes for approval by meeting participants
  • Maintain document with inventory of Chapter's official supplies and materials
  • Maintain Chapter historical records and operations documents (Bylaws, P & P)
  • Send Chapter Membership meeting and Board of Directors meeting Minutes to NAPO headquarters within thirty (30) days of the end of each month
  • Create event website announcement and emails for official chapter events
  • Chapter newsletter layout & design – share publishing duties with Dir. at Large
  • Perform other duties as requested and/or delegated by the President  
Treasurer
  • Custodian of the Chapter’s funds and responsible for maintaining these funds in a bank account and disbursing them in accordance with Chapters Disbursement Policy
  • Prepare and forward to NAPO HQ required year-end financial reports and budgets as outlined in the Chapter Financial Reporting Requirements in the Chapter Operations Handbook 
  • Prepare and submit a proposed budget to the Chapter Board of Directors for approval before the fiscal year begins October 1
  • Collect and account for Chapter dues and meeting fees
  • Pay Chapter financial obligations
  • Review contracts and/or agreements
  • Review Chapter financial records and present them to the Chapter membership at least quarterly
  • Perform other duties as requested and/or delegated by the President

Director of Membership

  • Review and process Chapter membership applications
  • Oversee membership renewal process
  • Oversee hospitality and registration
  • Respond to membership inquiries 
  • Conduct or oversee new member orientation call or webinar
  • Produce and distribute new member information
  • Oversee mentoring program, if applicable
  • Chair the Membership Committee, if applicable
  • Monitor compliance with NAPO membership categories
  • Maintain Chapter membership database; send monthly membership report to inform NAPO staff of changes; maintain member access to the Chapter POINT community
  • Confirm eligibility for Chapter Board candidates in conjunction with the nominating committee
  • Confirm accuracy of membership profiles
  • Collect and tabulate member survey data, if applicable
  • Perform other duties as requested and/or delegated by the President

Director of Communications & Technology

  • Perform all duties related to providing the technology tools and platforms, as needed, for chapter data and communications
  • Manage virtual platforms and features for chapter meetings, including but not limited to: live stream audio, video, and recordings; slideshow/video presentation; and polling, Q&A, and breakout rooms
  • Create and maintain procedures and best practices for virtual event production
  • Maintain technology tools/platforms for chapter documentation, including creation, collaboration, sharing, securing, and performing regular backups
  • Update, maintain, and manage chapter website
  • Provides the technology platforms to design, produce, and ensure smooth delivery of electronic communications, including but not limited to: graphic design, newsletter, video, email, and website channels 
  • Perform other duties as requested and/or delegated by the President

    Director at Large / Immediate Past President 

    • Prepare and execute chapter Board elections
    • Chair or recruit chair and oversee Nominating Committee
    • May serve as parliamentarian for Board meetings and Chapter meetings
    • Shall perform other duties as requested and/or delegated by the President
    Additional duties may include:
    • Editor of chapter newsletter – share publishing duties with Secretary
    • Maintain chapter newsletter access via POINT library & archive past issues
    • Assist Board Transition & Strategic Planning preparation

    Director of Administration 

    • Serve as Chapter Historian
    • Chapter Librarian, including maintaining storage, access, and an accurate inventory of physical library materials
    • Maintain chapter volunteer inventory and recognition
    • Perform other duties as requested and/or delegated by the President
    • These duties shall be assigned to the Secretary or at the President’s discretion when this Directorship is not established or is vacant

    Director of Business Partners 

    • Liaison between the Chapter Board and the Chapter Business Partner Members
    • Recruit and manage relationship with Business Partner Members, and execution of member benefits unique to Business Partners
    • Perform other duties as requested and/or delegated by the President
    • These duties shall be assigned to the Vice President or the Director of Membership or at the President’s discretion when this Directorship is not established or is vacant

    Director of Marketing 

    Oversee: 
    • Get Organized Month
    • NAPO Cares
    • Public relations
    • Media tracking
    • Special events
    • Chapter promotional products
    • Chapter social media
    • Chapter photography and photo archive
    • Chapter branding, marketing and promotions to members and general public
    • Perform other duties as requested and/or delegated by the President

    Director of Professional Development 

    • Find and reserve Chapter meeting location
    • Maintain program calendar and event announcement communications
    • Procure and communicate with speakers for meeting programs and special events
    • Schedule and facilitate program portion of Chapter meeting
    • Create, distribute and review program evaluation forms
    • Oversee Chapter conference, expositions, special events, workshops, or paid events, if applicable
    • Oversee educational programs in addition to Chapter meetings, as applicable
    • Perform other duties as requested and/or delegated by the President
    • These duties shall be assigned to the President or at the President’s discretion when this Directorship is not established or is vacant
